Define the support scope precisely
List the channels, products, customer types, service hours and enquiry categories included. State clearly whether the team can only provide information or can also make changes, issue credits, book appointments or approve exceptions.
Prepare knowledge and escalation rules
The team needs approved answers, system instructions, identity checks, tone-of-voice guidance and a route for questions not covered by the knowledge base. Complaints and regulated matters should have separate handling rules.

Measure quality from the first week
Agree how interactions will be sampled and scored. Review accuracy, completeness, tone, ownership, data handling and whether the correct escalation was used.
Report customer themes as well as team performance. A growing volume of the same question may indicate a product, website or communication problem that the client should solve at source.
