Agree categories and ownership rules

Define the main enquiry types, which team owns each type and what the inbox administrator may complete directly. Use a visible status such as new, in progress, waiting and complete.

Turn messages into controlled work

Assign an owner, due date and next action. Where another team must respond, keep a follow-up date so the message does not disappear after forwarding.

  • Priority and risk flags
  • Approved acknowledgement templates
  • Rules for attachments and sensitive information
  • Escalation after missed internal deadlines
  • Daily count by age and status

Review demand, not only response time

Report the most common reasons for contact, repeated senders, unresolved dependencies and messages that require senior decisions. The inbox can reveal process failures elsewhere in the business.

A managed inbox should provide a reliable queue and record of action. It should not become an informal substitute for a CRM, helpdesk or finance system where those are needed.
