Start with actions and operational health
Open by reviewing actions from the previous meeting, then summarise volumes, backlog, ageing, service levels, quality and escalations. The discussion should explain movement and causes, not only read numbers from a report.
Reserve time for change and risk
Review upcoming campaigns, product changes, seasonal peaks, system releases and policy updates that may affect workload. Discuss access reviews, security incidents, control failures and any repeated exception that needs a new rule.

End with named decisions and deadlines
Every action should have one owner and one date. Record whether the owner is the client or provider, because many operational delays are caused by actions that sit between organisations without clear accountability.
Keep the agenda stable enough to compare month to month, while allowing a separate section for significant projects or transition work.
