Decide which work needs live overlap
Customer conversations, urgent approvals and collaborative problem-solving may need shared hours. Data processing, reporting preparation and routine administration can often be completed asynchronously.
Use a structured handover
The handover should identify completed work, open items, blockers, urgent cases and decisions needed. It should live in an agreed system rather than depend on informal chat messages.
- Priority for the next shift
- Owner of every open item
- Deadline and customer impact
- Evidence or link to the source record
- Clear question where a decision is needed
Plan calendars and escalation in advance
Share UK and Indian public-holiday calendars and agree cover arrangements before affected weeks. Define how urgent issues are raised outside normal overlap and who is permitted to contact whom.
Good time-zone design reduces waiting. Poor design creates a full-day delay for a question that could have been answered during a planned overlap window.
